The Association of Refugee Women in Uganda is a refugee-led women's rights organization dedicated to strengthening livelihoods and community development through inclusive and sustainable programs. Role Purpose
The Administrative Assistant will provide essential support to the office by managing administrative tasks, coordinating logistics, and ensuring smooth day-to-day operations. This role is critical in maintaining efficiency and supporting program teams to deliver impact. The ideal candidate will be a detail-oriented professional who thrives in a dynamic environment and is committed to supporting the organization's mission of empowering refugee communities.
Key Responsibilities
- Manage office correspondence, filing systems, and documentation to ensure organized and accessible records
- Handle phone calls, emails, and inquiries in a professional and timely manner, serving as a point of contact for internal and external stakeholders
- Schedule and coordinate meetings, workshops, and travel arrangements for staff and program activities
- Support procurement processes, including vendor communication, purchase requisitions, and maintaining inventory records
- Assist in preparing reports, presentations, and other administrative documents with accuracy and attention to detail
- Ensure compliance with organizational policies, procedures, and donor requirements
- Maintain office supplies inventory and coordinate office maintenance needs
- Provide general administrative support to staff members and ensure a welcoming environment for visitors
- Support event planning and logistics for organizational activities
- Maintain confidentiality of sensitive organizational information
Qualifications and Experience
- Diploma or Bachelor's degree in Business Administration, Office Management, Secretarial Studies, or related field
- Minimum of 2 years' experience in administrative or office support roles, preferably in a professional environment
- Strong organizational and multitasking skills with ability to prioritize competing demands
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general computer skills
- Excellent written and verbal communication skills in English
- Ability to work independently with minimal supervision and as part of a collaborative team
- Experience working with NGOs, development organizations, or humanitarian agencies is an added advantage
- Familiarity with procurement and administrative processes in the nonprofit sector is desirable
